The HND Community Trust complies with the New Zealand Privacy Act 2020 (the Act) when dealing with personal information. Personal information is information about an identifiable individual. This policy sets out how we will collect, use, disclose and protect your personal information. This policy does not limit or exclude any of your rights under the Act.  We may change this policy by uploading a revised policy onto the website. The change will apply from the date that we upload the revised policy. Your privacy is very important to us. Accordingly, we have developed this policy for you to understand how we collect, use, communicate and disclose and make use of personal information. 

Purpose

The HND Community Trust will collect general information about you, such as your name, address, and contact details so that we can contact you. We may also collect this and other types of personal information during dealings with you, for example: when you wish to subscribe to a newsletter or publication, when you register for camps, conferences, or events, and when you participate in our shared activities or complete other forms. 

The information collected may include some sensitive information (as defined by the Privacy Act), such as health information, relevant to the services or assistance you have requested from us. 

From time-to-time photos and videos may be taken at events that may be used in our publications or for promotional purposes. In the interests of security and safety we may also operate security cameras within and around some of the venues where our events are hosted. 

Methods

We will collect personal information by lawful and fair means and, where appropriate, with your knowledge and consent. 

Use of Information

In general, any information we collect from you is kept for the following reasons: 

  • To enable staff and programme leaders, to communicate with you, and to facilitate and provide care and other services. 
  • To provide summarised information for management and reporting processes of the HND Community Trust.

Disclosure

We may disclose your personal information to: 

  • External service providers that support the HND Community Trust. 
  • Any other person authorised by law.
  • Any other person authorised by you. 

Access and Security

Your information belongs to you and if you need to you can request access to the personal information that we hold about you by contacting our office. If you need to access, make changes, or update any information that we hold you are most welcome to do so. 

A request for access to personal information may be declined e.g. if the information involves a breach of someone else’s privacy, or poses a threat to someone’s safety.

The HND Community Trust takes reasonable steps to keep secure any personal information that we hold. Whilst we have adequate systems in place, preventing potential malicious access cannot be fully guaranteed.
